Ready-to-use replies for your café — and a free tool to generate a custom response to any review in seconds.
A café lives on regulars, and regulars are won (or lost) in the small moments — the latte art, the wifi, the barista who remembers your order. Your review replies are where that same warmth shows up online for the next person deciding where to spend their morning.
When a customer leaves a glowing review, thank them by name and mention the coffee and atmosphere specifically. Here's a real-world example you can adapt:
★★★★★ Example review
“Best flat white in the neighborhood and the coziest corner to work from. The staff are so friendly!”
Your reply: This made our morning — thank you! That corner is our favorite spot too, so we're glad you've claimed it. Next flat white is on the house; just mention this review to whoever's on bar.
A middling review is an opportunity. Acknowledge what worked, and invite the customer to tell you how your café could earn that 5th star:
★★★☆☆ Example review
“Coffee's great but it gets loud and seating is tight at peak times.”
Your reply: Appreciate the honesty — we know the mid-morning crush can get cozy fast. We've added a few seats at the back and keep that area quieter for laptops, so swing by before 9 or after 2 and it's a calmer scene. The coffee will be just as good.
Stay calm, apologize sincerely, and move the conversation offline. Never get defensive — future customers judge you by how you respond:
★☆☆☆☆ Example review
“Waited 15 minutes for a drip coffee and it was lukewarm. Won't be back.”
Your reply: Fifteen minutes for a drip coffee is genuinely too long, and lukewarm on top of that — I'm sorry. That's a sign we dropped the ball on staffing that morning. I'd love to pour you a fresh one; reach me at [phone/email] and your next coffee is on us.
A few more real café reviews — the kind customers actually leave — with sample replies you can copy and adapt:
★★★★★ Example review
“My go-to spot to work remotely. Fast wifi, great oat-milk latte, and the staff never rush you out even when it's busy. Feels like a second office.”
Your reply: A second office is exactly what we hope to be for our remote-work regulars — thank you! Reliable wifi and never rushing you out are deliberate choices on our part. Your oat-milk latte will be ready whenever you roll in; see you tomorrow!
★★★☆☆ Example review
“Coffee is solid but the pastries were a bit stale by mid-afternoon and a couple of options were sold out.”
Your reply: Thank you for the honest feedback — stale afternoon pastries and empty cases aren't the experience we want, and I'm sorry. We're adjusting our baking schedule so the selection stays fresh later in the day. Come by again and the case should look a lot better!
★☆☆☆☆ Example review
“Ordered a latte and it was basically warm milk with no espresso flavor, and the barista shrugged when I mentioned it.”
Your reply: A latte with no espresso flavor, plus a shrug when you spoke up, is a double miss and I'm sorry — both the drink and the response fell short of our standard. I'd like to remake it properly and talk with the team about how we handle feedback. Please reach me at [phone/email].
Keep it brief and personal — thank them, reference the drink or the vibe they mentioned, and add a small invitation back. Regulars notice when the reply sounds like a person, not a script.
Own the specific wait, mention your busy windows so they can plan around them, and offer a fresh drink. Most coffee complaints are about consistency, so showing you take speed seriously rebuilds trust quickly.
Sparingly — a one-line nudge ("we'd love to see you on the rewards app") is fine on a positive review, but never on a complaint, where it reads as deflecting.
If your café gets reviews across Google, Facebook, and more, managing them by hand eats your day. An all-in-one reputation tool collects every review in one inbox, sends review requests automatically, and helps you respond in a click.
